After an import, each transaction becomes a proposed entry with its accounts and a confidence score. An entry only becomes part of your books once it is approved.
Entry statuses
| Status | Meaning |
|---|---|
| Auto-validated | Confidence of 95% or more, approved at import |
| Draft | A proposal waiting for your approval |
| Validated | Approved by you |
| Manual | Entered by hand |
| Rejected | A proposal you turned down |
| Exported | Included in a Crésus export |
Approve one at a time
- Open Entries and click the To validate filter.
- Open an entry and check the Debit account and the Credit account.
- If you are unsure, click AI suggestion: a block shows the proposed accounts and the confidence. Click Apply this suggestion to use them, or keep your own accounts.
- When you edit the description, the Similar entries list shows how you booked similar transactions before, which helps you pick the right account.
- Click Validate.
Approve in bulk
Tick several entries, or Select all, then click Validate or Reject. To correct a batch, choose a debit account, a credit account or a department in the selection bar, then click Apply.
If a selected entry belongs to a closed period, ark.flow refuses the whole action and says so above the selection bar, for example: “2 selected entries are in a closed period (…) and can no longer be changed. Nothing was changed.” A button such as “Update the 3 editable entries” then applies the action to the editable entries only; Close dismisses the message.
Before you close a period, no entry may be left in draft: it blocks the closing.
