Check a period: audit and items to check

Run the audit for a period, correct or dismiss each flagged issue, and deal with the items to check in the financial statements.

Video tutorial · 0:42

The Audit page checks the entries of a period and gathers its accounting alerts. It is the place for checks in ark.flow Compta: the Accounting health card on the dashboard links to it with Open the audit. A flag is a hypothesis, so check it before you correct anything.

Run the audit

  1. Open Checks and closing, then Audit.
  2. Choose the period in the selector at the top of the page. The audit runs when the page opens.
  3. After a correction, click Run again to refresh the result.

At the top of the page, the Health score sums up the period, with the number of entries analysed and of active issues. It combines the category scores, each with its own weight.

What the audit checks

The category names and the issue messages currently appear in French.

Category What gets flagged
Duplicates Two entries close in amount and date
Bank reconciliation A bank account whose balance doesn’t match its reference balance
Documents An entry with no supporting document. Transfers between two accounts of the same group, opening entries and rejected entries are not checked
Suspect accounts An entry whose accounts differ from the ones usually used for that supplier
Departments An entry with no department or an unusual one. Only with the Analytics module

Below the categories, the Alerts for this period block shows alerts from other checks: anomalies, VAT, liquidity and compliance. An alert may link to the screen concerned; the cross hides it.

Deal with an issue

  1. Click a category to show only its issues; click it again to see everything. The All severities list filters by Critical, Warning or Info.
  2. Click an issue to open it: it shows the suggestion, the details and the available actions.
  3. Correct it according to its category:
    • Duplicates: the two entries appear side by side, with their amount, date, accounts and origin. Keep this one keeps one entry and deletes the other.
    • Documents: ark.flow suggests Matching documents. Click Link, or look for a document with Search a document…. Import a document opens the Documents screen.
    • Suspect accounts: the entry’s accounts appear next to the supplier’s usual ones, with a button that corrects the entry.
    • Bank reconciliation: View ledger opens the account concerned.
    • Departments: depending on the case, View entry, View entries without department or Configure salaries.
  4. Click Run again.

Dismiss a false positive

  1. Open the issue and click False positive.
  2. Add a reason if you like, then click Confirm.

The issue is marked Dismissed and leaves the list. Tick Show dismissed to see it again.

For duplicates and missing documents, ark.flow remembers your choices. Once you have dismissed three flags of the same kind, it stops raising them: the same account pair for a missing document, the same accounts and a similar amount for a duplicate.

Items to check in the financial statements

Open Accounting, then Financial statements. The statements are based on validated entries. When something could distort the amounts, a collapsed box shows the number of items to check. Open it: each item explains what is going on and, when a fix is possible, offers a button.

Item to check Button
Unvalidated entries are excluded from the amounts Validate the entries
Exported entries are excluded because their prior validation is unverified Open entries
An account needs classification Open the chart of accounts
The closing transfer of the result, or results from earlier years still to be carried forward Open closing

When accounts are involved, an Open account button followed by the number opens each of them, up to six accounts. The other items are for information and have no button.
